Statuses and Actions: Manage Actions Page Detailed Review

Actions are taken on a lead to move it through statuses, or distinct stages of the sales cycle. For example, taking the action “Contact Attempt” moves the lead from the new status into the “Attempting Contact” status. Taking an application moves the lead into the “Application Completed” status. Click Manage Actions on the Administration Submenu

 

The Manage Actions page displays all the actions currently in your system.

The Manage Actions page has several columns displaying basic information about each action as well as the Options column.

The columns are:

Title - Displays the title of the action

Comment Required - Yes or No value displays whether or not this action requires a that a comment be made by a user when the action is taken

Contact Attempt - Yes or No value displays whether or not this action constitutes a Contact Attempt. This is important for lead prioritization, which prioritizes leads based in part on how long it has been since the last contact attempt

Milestone - Actions may or may not be associated with a milestone. If the action is associated with a milestone, the milestone will be named here

Redistribute Lead (Program) - This column displays the name of the distribution program that is set to re-distribute the lead when the corresponding action is taken on it. This setting is covered in the section of this document called "Creating a New Action"

 

Creating a New Action

To create a new Action, click the Add New Action Button.

The Add/Edit Action page will load

Complete this form to create your action.

Give it a Title

Click the Comment Required checkbox to require a comment when the user takes this action

Click the Contact Attempt or Contact checkbox if this action constitutes a contact attempt or a contact. This is important in for measuring user performance.

Click the Calendar Event Required checkbox if taking this action should require that a user set himself a reminder

Select the Milestone that the lead will reach when this action is taken

The Redistribute Lead Using Program dropdown lists all the active push distribution programs in your system. Select one if you would like a lead to be re-distributed when this action is taken.

Click the Submit button when you are done filling in this form.

 

The Manage Actions page will load again and your new Action will appear in it.

 

Options Column

Click the links in the Options column to trigger Emails. Posts, and Calendar Events when the an action is taken.

Click the Emails link associated with the action to trigger an email when the action is taken.

To configure this setting, click to select an email in the Available Email Templates list box on the left and click the Assign button.

When you have added the email, it will appear in the Emails Sent Upon Action list box on the right.

When you are done, click the Return to Manage Actions button.

Posts

Clicking the Posts link associated with an action will enable you to trigger XML posts when an action is taken.

Click to select an email in the Available Post Templates list box on the left and click the Assign button.

When you have added the Post, it will appear in the Posts Sent Upon Action list box on the right.

When you are done, click the Return to Manage Actions button.

Calendar Events

Clicking the Calendar Events link associated with an action will enable you to trigger Calendar Events to be automatically set for a user when an action is taken.

Click to select an email in the Available Calendar Events Templates list box on the left and click the Assign button.

When you have added the Calendar Event, it will appear in the Calendar Events Set Upon Action list box on the right.

When you are done, click the Return to Manage Actions button.

 

Click the Edit link on the Manage Actions page to edit action settings. The functionality of this form is covered in the section of this document called "Creating a New Action"

Click the Delete link to delete the Action. You will be asked to confirm the deletion.
